These Terms & Conditions apply to all inquiries, quotations, bookings, tours, travel arrangements, and services provided through Elephant Travels and Tours.
Elephant Travels and Tours is a travel brand operated by Global Island (Pvt) Ltd, a company registered in Sri Lanka.
By using our website, requesting a quotation, confirming a booking, making a payment, or participating in a tour arranged by us, you agree to these Terms & Conditions.
In these Terms & Conditions, “Elephant Travels and Tours”, “Elephant Travels”, “we”, “our”, or “us” refers to the Elephant Travels and Tours brand operated by:

We arrange customized tours, travel packages, accommodation, transport, guides, excursions, activities, airport transfers, and other travel-related services in Sri Lanka and selected destinations.
Some services are provided directly by us, while others are provided by independent third-party suppliers such as hotels, drivers, guides, activity operators, restaurants, airlines, ferry services, rail services, or other local service providers.
We act as a travel organizer and coordinator. We are not responsible for failures, delays, losses, injuries, accidents, or service issues caused by third-party suppliers or events outside our reasonable control.
All prices are quoted based on the information available at the time of quotation.

A quotation does not guarantee availability or final price until the booking is confirmed and the required payment is received.
Once the final balance has been paid, the agreed package price is normally locked unless changes are requested by the traveler or unexpected government, tax, fuel, entrance fee, or supplier charges are imposed.
A booking is not confirmed until we receive the required deposit or agreed payment and issue written confirmation.
Availability is generally offered on a first-come, first-served basis. Hotels, guides, vehicles, and activities may become unavailable until payment is received and the booking is confirmed.
We reserve the right to decline or cancel a booking if payment is not received on time, if required traveler details are not provided, or if we believe we cannot safely or properly operate the requested travel arrangements.
Unless otherwise agreed in writing, a deposit of 50% of the total trip price is required to confirm the booking.
The remaining balance must be paid 30 days before the start date of the trip, unless a different payment schedule is agreed in writing.
If the balance is not paid by the due date, we may treat the booking as cancelled by the traveler. In such cases, cancellation charges may apply and previously held services may be released.
Accepted payment methods may include bank transfer, card payment, online payment, money transfer, or other methods confirmed by us.
Any bank charges, transfer fees, card processing fees, currency conversion costs, or payment gateway charges are the responsibility of the traveler unless otherwise stated.
All cancellation requests must be submitted in writing by email or other written communication accepted by us.
Unless different cancellation terms are stated in your quotation, invoice, or written booking confirmation, the following cancellation policy applies:
Refunds, where applicable, will usually be processed within a reasonable period after written cancellation is received and supplier cancellation charges are confirmed.
Some hotels, flights, activities, special permits, train tickets, peak season bookings, and third-party services may have stricter cancellation rules. In such cases, the supplier’s cancellation policy will apply.
We reserve the right to cancel, modify, reschedule, or adjust any tour, activity, accommodation, transport, or itinerary arrangement due to operational reasons, safety concerns, supplier issues, weather, road conditions, government restrictions, strikes, natural disasters, political unrest, health emergencies, or any other circumstances outside our control.
If a major change is required, we will make reasonable efforts to offer a suitable alternative of similar standard where possible.
Uncompleted portions of a trip, missed activities, missed meals, or unused services caused by weather, road closures, delays, illness, traveler choice, force majeure, or circumstances outside our control are not automatically refundable.
Travel in Sri Lanka may be affected by weather, traffic, road conditions, cultural events, religious festivals, wildlife movement, government rules, supplier availability, or other local conditions.
We reserve the right to adjust the itinerary when necessary for safety, comfort, timing, availability, or operational reasons.
Travelers are expected to keep an open and flexible mindset when traveling. Sri Lanka may have different cultural practices, service standards, road conditions, and timing expectations compared to the traveler’s home country.
Accommodation is arranged according to the package confirmed with the traveler.
Hotel names, room categories, meal plans, and facilities will be subject to availability at the time of confirmation.
If a hotel is overbooked, closed, downgraded, affected by maintenance, or unable to provide the confirmed service, we may arrange alternative accommodation of a similar standard where reasonably possible. Final responsibility for hotel overbooking or internal hotel service failure rests with the hotel.
Special requests such as connecting rooms, early check-in, late check-out, specific bedding, views, floors, or room locations cannot be guaranteed unless confirmed in writing by the hotel.
Meal inclusions will be stated in the confirmed itinerary or quotation.
Travelers must inform us in advance of any dietary requirements, allergies, food intolerances, religious meal requirements, medical dietary needs, vegetarian or vegan requirements, diabetic meal needs, gluten-free needs, lactose intolerance, or other special meal requirements.
We will make reasonable efforts to communicate such requirements to hotels, restaurants, or meal providers. However, we cannot guarantee that all suppliers can fully meet every dietary requirement, and we are not liable for allergic reactions, food poisoning, cross-contamination, or food-related illness caused by third-party food providers.
Travelers with serious allergies or medical dietary needs are responsible for taking appropriate precautions and carrying necessary medication.
Travelers are responsible for ensuring that they are physically and mentally fit to participate in the selected trip.
Some tours may involve walking, climbing steps, hiking, uneven paths, hot weather, long drives, boat rides, wildlife safaris, or other physical activity.
Any pre-existing medical condition, disability, pregnancy, mobility limitation, mental health condition, allergy, or special requirement that may affect travel participation must be disclosed to us in writing before the trip.
Failure to disclose important health or mobility information may result in changes to the itinerary, refusal of participation in certain activities, or removal from the trip at the traveler’s own expense.
We reserve the right to refuse participation if we reasonably believe that a traveler’s health, behavior, condition, or conduct may affect their own safety, the safety of others, or the smooth operation of the trip.
Travel insurance is strongly recommended for all travelers.

We do not sell or provide travel insurance. Travelers are responsible for choosing suitable insurance and understanding the coverage, exclusions, and claim process.
Whether or not travel insurance is purchased, travelers remain responsible for any medical expenses, additional travel expenses, losses, or damages incurred during the trip.

We may provide general guidance, but final responsibility for passports, visas, entry rules, health rules, and travel documents rests with the traveler.
We are not liable if a traveler is refused boarding, refused entry, delayed, deported, fined, or unable to travel due to incomplete, invalid, expired, or incorrect travel documents.
Unless clearly stated in writing, international and domestic flights are not included in the tour price.
We are not responsible for airline delays, flight cancellations, missed connections, airport closures, baggage loss, immigration delays, airline schedule changes, or any additional expenses caused by flight-related issues.
If flight changes affect the itinerary, we will make reasonable efforts to adjust arrangements where possible. Additional costs may apply.
Unless specifically stated as included in the confirmed itinerary or quotation, the trip price does not include:
Travelers are expected to behave respectfully toward local communities, guides, drivers, hotel staff, other travelers, religious sites, wildlife, and cultural locations.
We may remove a traveler from a tour without refund if their behavior is abusive, unsafe, illegal, discriminatory, disruptive, intoxicated, threatening, or harmful to others, property, wildlife, or the reputation of the company.
Any additional costs caused by such behavior will be the traveler’s responsibility.
Wildlife sightings are never guaranteed. National parks, whale watching, safari experiences, hiking conditions, waterfalls, weather-dependent activities, and nature-based experiences depend on natural conditions and safety factors.
We are not responsible if wildlife is not seen, if an outdoor activity is cancelled due to weather or safety conditions, or if access to a natural site is restricted by authorities.
Travelers must follow safety instructions given by guides, drivers, rangers, boat operators, or activity providers.
We make reasonable efforts to arrange safe and reliable travel services. However, travel involves inherent risks.
Global Island (Pvt) Ltd, Elephant Travels and Tours, its officers, directors, employees, representatives, affiliates, agents, drivers, guides, partners, and assistants are not liable for injury, illness, death, loss, delay, damage, accident, additional expense, inconvenience, emotional distress, or loss of enjoyment caused by:
Travelers are responsible for their own belongings, passports, travel documents, medication, valuables, and personal safety.
We are not liable for failure or delay in performing our obligations due to events outside our reasonable control.
These may include but are not limited to natural disasters, floods, landslides, storms, earthquakes, pandemics, epidemics, war, terrorism, political unrest, strikes, government actions, airport closures, road closures, supplier failure, fuel shortages, power failures, or other unavoidable events.
In such cases, refunds are not guaranteed and will depend on the policies of hotels, suppliers, and service providers.
If a problem occurs during the trip, travelers must inform us as soon as possible so we can try to resolve the issue during the trip.
Complaints made only after the trip, without giving us a reasonable opportunity to fix the issue during travel, may limit our ability to assist or offer any remedy.

By submitting an inquiry, confirming a booking, making payment, signing a travel agreement, or participating in a trip arranged by us, you confirm that you have read, understood, and accepted these Terms & Conditions.
